Booking Appointments Through a Website Chatbot

Letting visitors book directly in the chat turns questions into appointments. How to connect the calendar, choose appointment types and collect the right details.
Booking Appointments Through a Website Chatbot
Many website visitors are ready to book but do not want to call. A chatbot connected to your calendar lets them book in the same conversation where they asked their question.
Last reviewed: November 2026.
Connect the calendar
The chatbot should read real availability from your booking system or calendar, such as Google Calendar, Microsoft 365 or your practice or job software, and write the booking back. A chatbot that only collects a preferred time and emails it to you is not booking.
Choose which appointments it can book
Start with routine types: consultations, estimates, standard services. Leave complex or high-value appointments for a person to confirm.
Collect the right details
Name, contact details, the reason for the visit and anything you need to prepare, and nothing more. Ask the questions you would ask on the phone.
Confirm and remind
Send a confirmation immediately with the date, time, location or video link and how to reschedule. Add reminders. See appointment reminders.
Handle the edge cases
- No suitable times: offer a waitlist or a callback.
- Out-of-area or unsuitable requests: explain politely and suggest an alternative.
- A visitor who wants to talk first: offer a call booking or a person.
Measure
Bookings made through chat, and no-show rate compared with phone bookings.
