When a Chatbot Should Hand Off to a Person (and How to Do It Well)

A chatbot earns trust by knowing its limits. When to pass a conversation to a person, how to pass context along, and what to do after hours.
When a Chatbot Should Hand Off to a Person (and How to Do It Well)
A chatbot that tries to handle everything frustrates people. One that knows when to hand off builds trust. Write the handoff rules before launch.

Hand off when
- The visitor asks for a person. Always honour it.
- The topic is sensitive: health, legal, financial, a complaint, a refund, or anything about a specific account.
- The chatbot is unsure. If it cannot find an answer in approved content, it should say so rather than guess.
- The visitor is upset. Repeated questions, strong language or "this is not helping" are signals.
- There is money on the table: a large quote, a custom request or a ready-to-buy customer.
How to hand off well
- Say what will happen. "I will pass this to Sam, who handles bookings. You will hear back by 3 pm today."
- Pass the context. The person should see the conversation, the visitor's details and what they asked for, so the customer does not repeat themselves.
- Route to the right person. By topic, location or service.
- Set a response target and alert a backup if nobody picks it up in time.
After hours
Offer a booking link or take a message with a clear promise of when you will reply. Do not leave visitors waiting in a chat window nobody is watching.
Review the handoffs
Read handed-off conversations each week. Some show content gaps the chatbot could answer next time; others confirm the rules are working.
How we build this
Every chatbot we build has written handoff rules, tested before launch. See AI chatbots and lead capture and human-in-the-loop AI.
