How to Choose an AI Automation Agency: Questions to Ask Before You Sign
By Brainfy AI Team
A buyer's checklist for hiring an AI automation agency: how to compare scope and pricing, who owns the work, how data is handled and what support looks like after launch.
How to Choose an AI Automation Agency: Questions to Ask Before You Sign
"AI automation agency" covers everyone from solo freelancers to large consultancies, and proposals can look very different for the same problem. These questions help you compare them on the same footing. They apply to us too.

Start with the problem, not the tool
A good agency asks what you want to change before it recommends software: fewer manual steps, faster replies to leads, fewer missed calls, cleaner data. If the first conversation is about a specific AI tool, ask why that tool fits your problem.
Questions about scope and price
- What exactly will you deliver? Ask for a written list of workflows, integrations and screens, not "AI transformation".
- How is it priced? Fixed fee, hourly or retainer. Each can be fair; what matters is knowing what is included and what triggers extra cost. Our pricing comparison explains the trade-offs.
- What are the running costs? Software subscriptions, AI model usage, hosting and support continue after launch. A proposal that only shows the build cost is incomplete.
- What is the timeline, and what does it depend on? Delays usually come from access to systems and decisions, so ask what you need to provide.
Questions about ownership and lock-in
- Who owns the work? Ask whether you get the code, the automation accounts and the documentation.
- Whose accounts are the tools in? Automations built in the agency's accounts can be hard to move later.
- Can we leave? Ask what handover looks like if you stop working together.
Questions about data and risk
- Where does our data go? Which providers process customer information, where it is stored and whether it is used for model training.
- Where does a person stay in the loop? Sensitive decisions, refunds, legal or health matters should go to a person. See our guide to human-in-the-loop AI.
- How do you test it? Ask to see testing with your real cases, including the awkward ones.
Questions about after launch
- What happens when something breaks? Who monitors it, how you report problems and how fast they respond.
- How will we know it works? Agree on two or three measures up front, such as response time to leads or hours saved, and check them after a month.
Red flags
- Guaranteed results or invented statistics.
- No written scope.
- Everything in the agency's accounts, with no handover plan.
- Pressure to sign a long contract before a small first project has proven itself.
