Map your current onboarding

Write down every step from "yes, let's go" to "work begins": agreements, payment, welcome email, intake questions, documents, account access, kickoff call and first deliverable.

What to automate

• Welcome message as soon as the agreement is signed or the deposit is paid: what happens next, who their contact is and what you need from them.
• Intake form with the questions you always ask.
• Document collection through a secure upload link with a checklist, and reminders for anything missing.
• Kickoff scheduling with a booking link.
• Internal tasks created in your project tool, assigned to the right people with due dates.
• Check-in a week or two in, asking how things are going.

What stays personal

The kickoff conversation, setting expectations, and anything that needs judgement about the client's situation.

Keep it tidy

Store documents and intake answers in the client's record in your CRM or practice management system, not scattered across email.
