Approval Workflows: Automating Sign-Off Without Losing Control
By Brainfy AI Team
Chasing approvals by email wastes days. How to automate sign-off for quotes, invoices and requests with clear thresholds, reminders and a record of who approved what.
Approval Workflows: Automating Sign-Off Without Losing Control
Quotes, invoices, purchases, time off, content and refunds all need someone to say yes. When approvals run through email, they stall. An approval workflow sends each request to the right person, reminds them and records the decision.
Last reviewed: November 2026.
Define the rules
For each type of request, write down:
- Who approves, and who covers when they are away.
- Thresholds, such as invoices under $500 auto-approved, $500 to $5,000 by a manager, over $5,000 by the owner.
- What information the approver needs to decide without asking questions.
- What happens after approval: the invoice is paid, the quote is sent, the request is scheduled.
Make approving easy
One-click approve or reject from email, chat or a phone, with the details attached. Ask for a reason on rejection.
Remind, then escalate
Send a reminder if nothing happens within a set time, then escalate to the backup.
Keep a record
Log who approved what and when. It answers questions later and helps at year-end.
What to keep manual
Unusual requests, exceptions to policy and anything that sets a precedent. Automation routes them; a person decides. See human-in-the-loop AI.
How we help
