AI Receptionist for Canadian Small Businesses: What It Does and When It Fits

An AI receptionist answers every call, books appointments and takes messages. Here is what it can and cannot do, how it compares with an answering service, and what to set up first.
AI Receptionist for Canadian Small Businesses: What It Does and When It Fits
An AI receptionist is software that answers your business phone with a natural-sounding voice. It greets callers, answers common questions from information you approve, books or changes appointments, takes messages and transfers the call to a person when it should. This guide explains where it helps, where it does not, and how to set one up without frustrating your callers.
Last reviewed: November 2026. This is general information, not legal advice.
What an AI receptionist handles well
- Every call, at any hour. Calls after hours, at lunch or while you are with a customer still get answered.
- Routine questions. Hours, location, parking, services offered, what to bring, whether you serve a particular area.
- Booking. It can check a connected calendar, offer open times, confirm and send a reminder.
- Messages and triage. It can take a clear message, mark it urgent when the caller says it is, and send it to the right person by text or email.
- Two languages. Many voice platforms can answer in English and French, which matters for Canadian businesses serving both.
What it should not handle
- Judgement calls. Complaints, refunds, pricing exceptions and anything that needs discretion should go to a person.
- Sensitive topics. Health, legal or financial details should be routed to staff, with only what is needed collected on the call.
- In-person work. An AI receptionist covers the phone. It does not greet walk-ins, handle packages or run the front desk.
AI receptionist, answering service or virtual receptionist?
| Option | Who answers | Good for | Watch out for |
|---|---|---|---|
| AI receptionist | Software | Every call answered, booking, routine questions | Needs a clear call flow and a handoff path |
| Answering service | A shared team of people | Messages and simple screening | Usually takes messages rather than booking; coverage and cost vary |
| Virtual receptionist | A person working remotely for you | Judgement, relationships, mixed tasks | Limited hours; salary or contract cost |
Many businesses combine them: the AI receptionist answers first and handles routine calls, and anything else goes to a person.
What to set up first
- Write down your top ten call reasons. Listen to a week of calls or ask whoever answers the phone. These become the receptionist's script.
- Decide the handoff rules. Which callers go straight to a person, which get a callback, and how fast.
- Connect the calendar and the CRM. Bookings and caller details should land where your team already works, not in a separate inbox.
- Write the approved answers. The receptionist should answer from your content, not guess. Keep it short and specific.
- Test with real scenarios. Call it yourself with the awkward cases: a wrong number, an angry caller, a question it should not answer.
Privacy and call recording in Canada
If calls are recorded or transcribed, tell callers at the start that they are speaking with an automated assistant and that the call may be recorded, and give them a way to reach a person. Collect only what you need, decide how long you keep recordings and transcripts, and know which providers store the audio. Federal PIPEDA and provincial laws such as BC's and Alberta's PIPA can apply, so check with your adviser for your situation.
How we set one up
We design the call flow with you, configure and test the voice agent, connect it to your calendar and CRM, and document where call data is stored. Scope and price are agreed in writing before we start. See AI voice agents and phone answering for what is included, or the pricing page for packages.
Frequently asked questions
Will callers know they are talking to an AI?
They should. Say so in the greeting. Callers accept an automated assistant far more readily when it is honest and offers a person.
Can it transfer a call to my cell phone?
Usually, yes. Transfers and text alerts are set per call type during setup.
Does it work with my existing phone number?
In most setups you forward your existing number, or calls that ring out, to the voice agent, so the number on your website does not change.
What happens if it does not understand?
It should say so, take a message or transfer the call. Testing those paths is part of setup.
